[Under the general supervision of the City Attorney, this position performs a variety of highly responsible, confidential, and complex legal administrative duties within the City Attorneys office. QUALIFICATIONS

[Graduation from high school or equivalent supplemented by coursework in public administration, criminal justice, or paralegal studies, a college degree is desired but not required; plus at least five years of progressive training, education, and/or experience in the legal field or city government and will have a background which places a strong emphasis on writing and organizational skills. ]{arial",sans-serif"=""}

Essential Functions

  • Perform a wide variety of complex, responsible, and confidential duties for the Attorney(s). Use strong writing, editing, formatting, and organizational skills in the preparation of legal documents including pleadings, contracts, ordinances, memorandum, correspondence, and other materials. Prepare general and case specific correspondence for the Attorney(s).
  • Provide assistance for Attorney(s) in preparation for governmental meetings including City Council, Council Committees, Community Redevelopment Authority, and all other legislative and administrative meetings. Develop a familiarity with City Code, ordinances and resolutions, agreements and contracts, and laws applicable to the City.
  • Review legal documents including title reports, legal descriptions, contracts, exhibits, or other materials. Prepare summaries, suggestions, and corrections as assigned. Maintain electronic and paper files and documents including filing and organizational tasks. Request, compile and assemble various legal materials and documents from materials gathered from internal and external sources. Under the guidance of the Attorney(s), assist officials and staff in preparing preliminary drafts of legislative documents including ordinances and resolutions.
  • Use proprietary software and Microsoft Office to create, implement, and maintain standardized and integrated merge documents for common legal documents. Maintain familiarity with document generation processes, including maintaining data integrity, and updating existing processes. A willingness to participate in advanced training on Microsoft Office features, which improves efficiency and standardization.
  • Prepare and format documents for electronic filing with the Courts and track case progression through the court system. Utilize a wide variety of task-specific software across multiple departments to retrieve data and information for assigned projects.
  • Under the instruction of the Attorney(s) answer basic inquiries from internal and external stakeholders including screening calls, visitors, and mail. Respond to sensitive requests for information. Provide callers with general information about case progression, as well assisting individuals with understanding their legal obligations to the City. Confidently and kindly manage the wide variety of emotions which may be expressed by stakeholders.
