Reference #: 1155040300 This position supports the Executive Vice President of Operations, Supply Chain and Procurement. The Executive Administrative Assistant performs the full range of complex administrative and general office duties. This position is highly visible and communicates with contacts at all levels in the organization. The executive assistant must demonstrate the ability to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner. This role is technology-driven and must have expertise in SAP, and MS programs such as PowerPoint, Excel, Word, Outlook, Teams, SharePoint, and other applications, plus the agility to quickly learn new technology platforms.Finally, it is critical that the person filling this position is extremely trustworthy and can act with discretion to maintain confidentiality when handling business information.

Key Responsiblities: Manage Executives' (C-Level) calendars and scheduling global internal and external meetings. Prepare and prioritize correspondence and inbox management. Pull together content and prepare reports and presentations for internal and external meetings and conferences. Effectively plan, coordinate and execute onsite and offsite executive meetings and events; prepare agendas, arrange for facilities, menu planning, and catering; provide coherent and up-to-the-minute details to attendees by issuing information or invitations; oversee accommodations and extraordinary requests, as needed, and ensure smooth execution; be prepared to respond to unforeseen changes. Organize and manage domestic and international travel arrangements; prepare a detailed itinerary and compile documents for travel-related meetings ensuring your Executive is ready for the trip. Accountable for completing travel expense reports. Uphold a professional demeanor; greet visitors, interface with co-workers and customers appropriately; work as an effective team player with colleagues. Handle diverse administrative duties and assist Executives in their tasks related to their staff and direct reports. Place requisitions for materials and services using FMC procurement systems (e.g., SAP, Ariba) and run reports related to purchasing activities. Work with vendors and suppliers to reconcile and pay invoices Coordinate onboarding/offboarding activities for executives' new hires direct reports, including initiating new hire computer/email requests and facilities forms Set up, create, and maintain files and manage professional workspaces.

We are seeking a candidate with: Associate's degree and 5 years' experience supporting senior-level executives (C-Level).Bachelor's degree and equivalent experience, preferred. Advanced understanding of Microsoft Office and other business and communications tools Ability to demonstrate discretion and confidentiality Experience working with SAP Excellent attention to detail; quality check and compliance Flexible and adaptable to changing environments Able to deliver results on all projects Strong customer service disposition Open to working early morning or later hours as needed (including being available as needed should issues arise during supported Executives' travel)
